Records & Warrant Entry

The Records and Statistical Data Section provides department personnel with timely and complete information regarding all documented policing activities of the Sheriff’s Department, including Machesney Park. The department consists of two sections: Records and Warrants.

The Records Section is responsible for all data entry of police reports, accidents and tickets into P.I.M.S (Police Information Management System), Leads and NCIC.  The office processes inquiries from other agencies, subpoenas, FOIA requests, insurance requests and expungements. The Records Section maintains all files of police reports and provides monthly reports to the department. Public hours are from 8:00 am to 5:00 pm, excluding weekends and holidays. Even though the office is only open 8-5 for the public we staff the office from 8:00 a.m. to midnight for data entry and officer inquiry, again excluding weekends and holidays.

The Warrant Section is responsible for entries and cancellations of Warrants, Orders of Protection, Sex Offender, Gang Members, and Housing Bans into Leads, NCIC and CAD. This section maintains all active and inactive files for the above. This office is staffed from 8:00 am to midnight excluding weekends and holidays.  When the office is not staffed, officers contact the Records Section, Patrol Sergeants or the E-911 Communications Center for data entries, cancellations and modifications.
